Waves of Wellness Foundation Ltd ACN 614 442 018 (WOW) is committed to protecting your privacy and ensuring the confidentiality of any personal information you provide us. This Privacy Policy outlines how WOW manages the collection, use, storage, and disclosure of your personal information in connection with our main website, www.foundationwow.org, and any additional linked fundraising, initiative, or program sign-up websites (collectively, the "websites"), as well as our initiatives, programs, events, campaigns, fundraising, and products.

WOW complies with the Privacy Act 1988 (Cth) and the applicable Australian Privacy Principles under that Act. By accessing our websites and providing us with your personal information, you consent to our handling of that information as outlined in this Privacy Policy, as amended from time to time.

WHAT IS PERSONAL INFORMATION
For the purposes of this policy: 
(a) 'Personal information' means information or opinion about an identified individual or an individual who is reasonably identifiable and may include Sensitive information or Health information about that individual (as defined below).
(b) 'Sensitive information' includes information about an individual's health or medical condition, genetics, race, political opinion or membership, religion, philosophical beliefs, sexual preference, and criminal record.
(c) 'Health information' includes physical or mental health, disabilities, and healthcare services.


WHAT KINDS OF PERSONAL INFORMATION DOES WOW COLLECT?
We collect personal information from you in the following ways:

+ Personal stories, experiences, and feedback related to mental health support services.
+ Survey data, including validated measurement tools for mental wellbeing, mental health and social connectedness, and program feedback and comments.

The choice of how much information you provide to us is yours. However, if you want to participate in WOW initiatives, programs, events or campaigns, we will require certain information from you to provide them.

Sometimes, we collect personal information about you from other sources, including:
+ People making a purchase or donation on your behalf.
+ Third-party suppliers and contractors who may assist us in operating and administering WOW, such as information technology, campaigns, fundraising, marketing, social media advertising, online campaigning and digital services suppliers, research and development organisations and data partners.
+ Publicly available sources of information.

We may also combine or link your personal information with other information held about, or which we attribute to, you, including:
+ Information (personal or otherwise) that we collect from our Websites (as described below about "cookies and tracking") or from third parties.
+ We receive personal information from client businesses and sponsorship partners who, in common with us, have a relationship with you and where we understand that you have consented to such client businesses and sponsorship partners sharing your personal information with us.

WOW's PRIMARY PURPOSES FOR COLLECTING, HOLDING, USING & DISCLOSING PERSONAL INFORMATION
WOW's primary purposes for collecting, holding, using and disclosing personal information include:
+ Developing and delivering mental health programs like surf therapy sessions and community workshops.
+ Providing mental health and wellbeing support services and resources.
+ Facilitating donations and sponsorships for WOW programs and support offerings.
+ Respond to inquiries and provide information about WOW's activities.
+ Processing employment applications.
+ Conducting research and surveys to improve programs and services.

HOW DOES WOW COLLECT PERSONAL INFORMATION?
 
Except as provided below, personal information is collected directly from individuals in person and online.

In some cases, WOW may collect personal information from other organizations, such as schools or healthcare providers, ensuring that the relevant individual's consent is obtained where necessary.

If an individual is under 16, WOW may collect personal information from a parent or guardian in limited circumstances.

HOW DOES WOW USE OR DISCLOSE PERSONAL INFORMATION?
Unless consent is given by the individual concerned or otherwise as permitted by law, WOW only uses and discloses personal information for the purposes outlined in section 4.

Examples of disclosures may include Sharing information with mental health professionals WOW engages to support program participants.

We provide information to service providers who assist with program delivery.

We are disclosing information where required by law enforcement or regulatory authorities.

Personal information is not disclosed overseas unless equivalent privacy protections exist or explicit consent is obtained.

COMMUNICATION PREFERENCES
Where you have agreed to receive WOW emails, WOW may use your personal information to send you emails (including marketing emails) about our initiatives, programs, events, campaigns, and products. You will be given an opportunity in each email communication to unsubscribe from receiving any future communications from WOW. You can also contact us at info@foundationwow.org.

STORAGE & SECURITY OF YOUR PERSONAL INFORMATION
WOW may hold your personal information in electronic or hard copy format.

WOW employees are required, as a condition of their employment, to treat personal information held by WOW as confidential and to maintain the confidentiality of that personal information.

WOW also takes reasonable steps to ensure the security of all personal information it collects, including protecting it from misuse, loss, and unauthorised access, modification, or disclosure. For example, your personal information may be stored and maintained in a secure cloud-based environment, accessed only by authorised personnel.

WOW uses Raisely as its online fundraising platform for campaigns. Full disclosure of information on ‘Security at Raisely’ is available here. WOW also uses Stripe as the payment platform. Online credit card payments are handled directly by Stripe via the Raisely platform.

HOW DO YOU REQUEST ACCESS OR AMENDMENTS TO YOUR PERSONAL INFORMATION?

Access and Correction Requests
WOW acknowledges that individuals can access their personal information and request corrections. Requests to access or amend personal information held by WOW can be made in writing to info@foundationwow.org.

Response to Requests
WOW will generally provide access to personal information upon request unless legally restricted. Situations where access may be restricted include:
+ Legal obligations that prevent us from disclosing the information
+ Instances where providing access would pose a serious threat to the life, health, or safety of an individual
+ Cases where the request is frivolous or vexatious

If personal information needs to be corrected, WOW will update the information and notify relevant parties where feasible. Relevant parties may include organisations or individuals who received incorrect information from WOW and may need to be informed of the correction.

Fees for Access Requests
There is no charge for lodging an access request. However, reasonable fees may apply for providing access to the information, such as administrative costs related to retrieving and copying documents.

If we cannot satisfactorily resolve your concern or complaint, you can contact the Office of the Australian Information Commissioner (OAIC). To query your privacy rights or lodge a complaint with the OAIC about how we have handled your personal information, you can contact the Commissioner's hotline on 1300 363 992. The OAIC has the power to investigate the matter and make a determination.
